Job Description

Background

The Association for Reproductive and Family Health (ARFH) is implementing the Community-Oriented DMPA-SC/SI Acceleration in Nigeria (CODSAiN) Project with support from the Gates Foundation. As part of its commitment to improving operational efficiency and ensuring uninterrupted power supply, ARFH intends to install a solar power system at its office.

This initiative aims to provide sustainable and reliable energy to support critical office infrastructure and daily operations.

Purpose of the RFQ

The purpose of this RFQ is to invite reputable vendors to submit Technical and Financial Bids for the design, supply, installation, and commissioning of a solar power system for ARFH Abuja’s office.

Specific Responsibilities

Scope of Work

The selected vendor shall be responsible for the complete deployment of a solar power solution capable of supporting the following load:

Five (5) units of 2HP air conditioners
One hundred and four (104) lighting points
Fifty-four (54) double sockets

The scope includes:

System Design and Supply

Provision of solar panels (multiple brand options required)
Inverters and charge controllers
Battery storage system
Mounting structures and accessories
All necessary electrical components and cabling

Installation and Configuration

Installation of all system components
Integration with existing electrical infrastructure
Proper system configuration for optimal performance

Testing and Commissioning

Load testing and performance validation
System optimization
Final commissioning and handover

Documentation

System design and configuration details
User and maintenance manuals
Warranty documentation

Vendor Requirements

Technical Bid

The technical proposal must include:

Detailed system design and specifications
Warranty information for all components
Installation and delivery timeline
Payment terms
Evidence of similar projects executed
Technical capacity and personnel details

Financial Bid

The financial proposal must include:

Detailed cost breakdown of all components and services
Pricing for different brands of solar panels
Total project cost

Minimum Qualifications

Validity of Proposal

Technical proposals shall remain valid for 30 calendar days from the submission deadline
Financial proposals shall remain valid for 60 calendar days from the submission deadline

Additional Information

Vendors are required to conduct a site inspection at the ARFH office prior to submission
A 2% withholding tax will be deducted and remitted to the Federal Inland Revenue Service (FIRS)
Only successful bidder(s) will be contacted and invited for contract signing
