REQUEST FOR ASSESSMENT Office Space Reconfiguration, Furniture Procurement, and Installation Services

Job Description

The Association for Reproductive and Family Health (ARFH) invites qualified and experienced vendors/interior furnishing firms to submit quotations for the redesign and reconfiguration of selected office spaces, procurement and installation of office furniture, replacement of obsolete furniture, and furnishing of the Chief Executive Officer’s (CEO’s) office at its office premises.

The assignment is aimed at improving workspace functionality, aesthetics, staff comfort, productivity, and efficient utilization of office space through modern office furnishing and professional workspace redesign.

Specific Responsibilities

Scope of Work

  1. Office Space Assessment and Layout Design
    – Conduct physical assessment of designated office spaces
    – Develop proposed office layout and space optimization plan
    – Recommend modern and ergonomic workspace arrangements
    – Improve workflow efficiency through strategic office reconfiguration
    – Provide design concepts and visualization where applicableB. Furnishing and Redesign of the CEO’s Office
    – Redesign and furnish the CEO’s office to reflect a modern, professional, and executive work environment
    – Supply and install executive-grade furniture and fittings
    – Recommend suitable storage, seating, lighting, décor, and workspace arrangements
    – Ensure the office design aligns with functionality, comfort, professionalism, and organizational brandingFurniture and fittings may include:
    – Executive office desk
    – Executive ergonomic chair
    – Visitor seating/lounge chairs
    – Meeting/discussion table
    – Storage cabinets/bookshelves
    – Side stools/console units

    C. Procurement and Supply of Office Furniture
    – Executive desks
    – Office workstations
    – Ergonomic office chairs
    – Visitor chairs
    – Filing cabinets
    – Storage cabinets
    – Shelving units
    – Conference/meeting tables
    – Reception furniture
    – Office partitions where applicable

    D. Replacement and Rearrangement of Existing Furniture
    – Remove and replace old or damaged furniture
    – Support the rearrangement and optimisation of reusable furniture
    – Reorganise office layout to improve space utilisation and workflow

    E. Installation and Setup
    – Assemble and install all supplied furniture
    – Implement approved office layout design
    – Ensure proper finishing and alignment
    – Conduct post-installation cleaning and handover

Furniture and fittings supplied should:

– Be aesthetically suitable for a corporate environment
– Be space-efficient and easy to maintain
– Meet agreed dimensions and specifications
– Include warranty coverage

Minimum Qualifications

– Company profile
– Evidence of CAC registration
– Evidence of previous similar office furnishing/interior design projects
– Catalogue/photos of completed projects
– Tax clearance certificate where applicable
– Proposed implementation timeline
– Warranty information
– At least three references from similar assignments
